A great copier with bad service can cause more headaches than a so-so copier with excellent service. Since you will need to be comfortable with your copier vendor for years and years, it is in your best interest to be particular when evaluating them.</p>
<p>Get to know the dealers that carry the copier you&#8217;re interested in well. Ask as many questions as you can:</p>
<ul>
<li>How long have you been in business? What sort of clients do they look after?</li>
<li>How long have your employees been working for you?</li>
<li>Do you sell the best brands? Which is the strongest seller and how long have you been selling it? (If it is not the machine you&#8217;re interested in, look elsewhere.)</li>
<li>What is the policy on breakdowns? Is there a time limit for repair responses?</li>
</ul>
<p>One of the best ways to get to know a vendor is to take a tour of their facility. You will be able to meet staff in different departments, get a sense of their size and professionalism, and take a look at their repair facilities. This can also help you make sure a potential vendor is large enough to meet your needs &#8211; but small enough to value you as a customer.</p>
<p>Any dealer worth buying from should be more than willing to give you references. And make sure you follow through with this; as with any product or service that you purchase, neglecting to check references can be a grave mistake. Of course the dealer will put you in touch with their best customers, but you can still learn from the conversations.</p>
<p>Copiers at the lowest end of the spectrum are available at retail or online stores, but we do not recommend purchasing this way. Preventative maintenance and ongoing service and support are critical to your copier&#8217;s performance, and retail outlets do not offer appropriate service contracts. But they can also be expensive. Most business copy machines are £3,000 to £7,000 but some of the nicer copy machines out there can hit £30,000! So if you’re not sure yet whether you want to make an investment of that size, think about some of your options.</p>
<p>1. Copiers range in price based on the newness of available technology. For example, if you want an LCD screen on your copier, you can expect to pay a little extra. But it’s probably worth it, since newer technology is less likely to break down, and will be sounder than older models.</p>
<p>2. Decide whether you need colour copies or are satisfied with black and white copies. This can make up to a thirty percent price increase in your spending. Many hybrid copy machines are reliable and produce beautiful color copies as well as efficiently copying black and white documents.</p>
<p>3. Copy volume is another important factor in deciding what kind of copier you buy. Most businesses copy anywhere from three to five thousand copies a month, but if you’re nowhere near that range, you might not need a business copier.</p>
<p>4. Automatic feeders allow you the freedom to leave the copy machine to its work. Standing by the copier can be tedious and time consuming; automatic feeders do the work for you, but will boost the price of the copier.</p>
<p>5. After determining your copy volume, it’s time to think about speed. If your business needs a huge number of copies every month, it may be important to invest in a copier that can handle 30-50 cpm (copies per minute).</p>
<p>So if your business falls into the category of “supercopier or bust,” think about copy machine leasing. Because copy machine technology is frequently updated, after a few years your copy machine will likely be out of date. When you lease a copy machine, you can stay on top of the heap, and you shouldn’t have to worry about any kind of service repair – any good copy machine lease will cover parts, just make sure that you know what is included in the maintenance agreement.</p>
<p>Before you choose a copy machine lease, do your research. Check out which ones provide the most comprehensive and convenient service repairs. Moreover, see how the machine copies.  See if there is a trade-in program available so that if you have a long term lease, you can keep up with technological changes.</p>
<p>Be aware that copy machine leasing often involves a charge per copy or can include a copy minimum per month. Be careful when estimating your minimum because if you overshoot, you can wind up paying for more copies than you’re using. Once you’ve established your copying needs, then you can determine what kind of copier – and what method of financing it – is right for you.</p>

They also take up less space and are faster too.</p>
<p style="text-align: left;">Until recently, buying a Colour machine would still cost around 20% to 30% more than its mono-only same speed equivalent, however, the margin in price difference is becoming ever less and less. The colour toner will always add to running costs (when not included in the service plan), however, with a hybrid or colour-capable machine this is only so when colour is used. Businesses of all sectors and size are now increasingly buying or leasing a new copier with colour capability, and reaping the inherent benefits &#8211; namely:  impact of colour over simple black and white, professionalism in campaigns and corporate image, money and time-saving and convenience of in-house colour printing.</p>
<p style="text-align: left;">Because not all businesses will use colour all the time and could not justify the running costs of a one-pass dedicated graphic colour system, Ricoh and Rex Rotary manufacture what we describe as hybrid colour-capable or colour-enabled machines: colour is only used as required. You only use black toner for black and white printing.</p>
<p style="text-align: left;">Most are finding this is the ideal solution. Their printing is mainly black and white, yet colour is proving especially useful for colour graphs, datasheets, coversheets, headings, proposals and presentations. If colour is only used occasionally then a colour machine&#8217;s black and white printing is no more expensive than with a mono copier.</p>
<p style="text-align: left;">For a business with a very little but definite need for colour copying a decision must be made between a colour-capable digital printer or a black and white digital printer complemented by a smaller multifunctional all-in-one colour printer. A factor to decide would be amount of human intervention where both machines are used for a single print job.</p>
<p style="text-align: left;">Professional Colour: If your business regularly out-sources large amounts of colour copying for sales brochures, promotional literature, or other business projects, then you may actually save money by purchasing a dedicated colour machine that is capable of printing in full calibrated colour. These machines are typically used in graphics design environments for print proofing and where needs are for high quality, versatility with media, and consistent colour reproduction.</p>
